How to Enter a Lead #

Identify the Problem: Ask the customer what issue they are experiencing. Determine if it’s something that can be sold from the office.

Steps to Enter a Lead: #

  1. Click the “New Customer” tab at the top of the screen.
  2. Gather and enter the following info:
    • Name
    • Address
    • Phone number
    • Email address
    • Division
    • Source (How did they hear about Arrow?)
  3. Save the customer’s information.
  4. Schedule an appointment for an Account Manager to complete the estimate.
  5. Click the “Lead” tab at the top, then the plus (+) sign to add a Service Type Lead. ⚠️ Never use “Service Plan Lead.”
  6. Select:
    • Sales Rep
    • Source
    • Correct Estimate Type (see below)
  7. Save the lead
Estimate Type Description  
Exterior (fences/gutters) Baton Rouge: Tim or Shane  
New Orleans: Justin, Sean, or Joey 
 
Pest Control For issues not quoted over the phone (bed bugs, pantry pests, stinging insects, commercial properties, or homes over 3,000 sq ft)  
Termite Control Active termites, possible damage, drywood termites, commercial properties, or homes over 3,000 sq ft  
TAP Insulation Thermal Acoustic Pest Control Insulation estimate  
Rodent/Wildlife Mice, rats, squirrels, or other wildlife  

Who to Schedule for Estimates: #

  • Baton Rouge: Joe Lewis, Marc Fogos, Tim, or Shane
  • New Orleans/Slidell: Sean or Joey
  • Gulf Coast Mississippi: Justin

How to Schedule a Lead #

Switch to Advanced View. Before creating the lead, first hit schedule. View the entire week. Filter to show Account Managers only. After scheduling an appointment on the account manager, then add lead to the account.

Scheduling Guidelines: #

  • Keep appointments within a 5-10 mile radius.
  • Space appointments 30 minutes to 1 hour apart.

Assign Leads by Area: #

  • Joe: North Baton Rouge, West Baton Rouge Parish, Downtown BR
  • Marc: 70810 (Office area)
  • Shane: Ascension Parish
  • Tim: Livingston Parish to Hammond
  • Sean: New Orleans, LaPlace
  • Joey: Northshore, West Bank, St. Bernard Parish
  • Justin: Mississippi Gulf Coast

Appointment Notes Example #

Confirmed for a-lead termite estimate 3/4/2025 between 3 PM and 5 PM. Customer is seeing swarming termites in the attic, pinholes in the wall of the master bathroom, and tunnels on the baseboard of the bathroom.

A-lead customer came to us for services.
